1. Getting Started
Welcome to ParcelVine. Your account includes a fully managed real estate website, an AI-powered social content engine, a complete CRM, and a suite of marketing tools — all in one platform.
Logging In
Navigate to yourdomain.com/admin and sign in with the email and password provided during setup. Bookmark this page for quick access.
Your Admin Panel
The admin panel is organized into sections accessible from the left navigation bar:
- Dashboard — At-a-glance business overview
- Social Content — AI-generated social media posts
- CRM — Lead management and scoring
- Deals — Transaction pipeline
- Tasks — Follow-ups and reminders
- Calendar — Showings and events
- Analytics — Traffic and performance data
- Site Builder — Customize your website content
2. Dashboard Overview
Your dashboard shows key performance indicators (KPIs) at a glance:
- Total Leads — All leads captured from your website
- Active Leads — Leads currently in your pipeline
- Pipeline Value — Total value of active deals
- Closed Revenue — Completed transaction value
- Commission — Your earned commission
- Conversion Rate — Lead-to-close percentage
Below the KPIs you'll see section cards for CRM, Deals, SMS & AI, Campaigns, Email Engagement, Listing Alerts, and Social Content — each with live metrics. Click any card to jump to that section.
3. Social Content Engine
This is your biggest time-saver. ParcelVine automatically generates ready-to-post social media content whenever your listings change in the MLS.
What Gets Generated
For each listing trigger (new listing, price change, just sold, under contract), the system creates:
- 8 branded images — Clean hero + branded overlay in Instagram Square (1080x1080), Instagram Portrait (1080x1350), Story (1080x1920), and Facebook (1200x630)
- 5 carousel slides — Top listing photos with your branding
- 2 video slideshows — Ken Burns pan/zoom effect, Reels format + Feed format
- 3 AI captions — Lifestyle Story, Engagement Hook, and Clean Informational
How to Use It
Manual Generation
Use the generate bar at the top of the Social Content page to create content on demand:
- Enter a Listing ID and select a trigger type (New Listing, Just Sold, Under Contract, Price Change)
- Click Generate Content
Game Posts (16 Types)
Interactive game posts drive engagement and break up your listing-heavy feed. Select a game type from the dropdown or choose Surprise Me for a random pick:
- This or That — Side-by-side listing comparison, followers vote
- Guess the Price — Show a listing, hide the price, followers guess
- Would You Rather — Home preference polls (pool vs. garage, etc.)
- Dream Home Bingo — 5x5 bingo card of home features
- Two Truths and a Lie — Claude generates 2 real facts + 1 fake
- Mortgage Math — Followers guess the monthly payment
- Square Footage Challenge, Curb Appeal Rating, Emoji House Hunt, Real Estate Trivia, and more
Market Updates
Three types of market posts available from the market dropdown:
- Market Stats — Median price, days on market, inventory count, new this week
- Did You Know? — Single surprising market stat with context
- Rate Watch — Current mortgage rate with payment examples
Content Calendar
Click the Calendar tab to see all your generated content on a monthly view. Each day cell shows what was created, color-coded by type. Click any item to open its detail view.
Content Network
At the bottom of the Social Content page, you can opt in to share your listings with other ParcelVine agents for game posts. When opted in, other agents' game posts may feature your listing (with full attribution). You get exposure, they get better content variety.
Regenerating Content
Not happy with a caption? Click Regenerate Captions for new AI-written versions, or Regenerate All for new images + captions. You get 5 regenerations per hour and 25 per day.
4. CRM & Lead Management
Every visitor who fills out a form, saves a search, or contacts you through your site becomes a lead in your CRM.
Lead Pipeline
Leads flow through six stages:
- New — Just captured, not yet contacted
- Contacted — You've reached out
- Showing — Actively viewing properties
- Under Contract — Deal in progress
- Closed — Transaction complete
- Lost — Lead went cold or chose another agent
100-Point Lead Scoring
Each lead gets an automatic score based on behavior: property views, favorites saved, searches saved, email opens, SMS replies, and more. Higher scores mean hotter leads. Use this to prioritize your time.
Lead Actions
- Add Notes — Log conversations and observations
- Send SMS — Text directly from the CRM (Twilio integration)
- Assign Agent — Route to a team member
- Update Status — Move through the pipeline
- Add Tags — Buyer, Seller, Investor, Hot Lead, Referral, etc.
- View History — See every interaction, property view, and inquiry
5. Deals & Pipeline
Track every transaction from first conversation to closing day.
Creating a Deal
- Link a deal to an existing lead
- Set the property address and listing ID
- Enter deal value, commission rate, and deal type (Buyer/Seller/Dual)
- Assign to an agent
Pipeline Stages
Drag deals through stages: Prospect → Proposal → Negotiation → Under Contract → Closing → Closed Won (or Closed Lost). Each stage change is logged with timestamps.
Commission Tracking
Enter your commission rate per deal. The system calculates your expected commission and tracks totals across all agents and time periods.
6. Tasks & Calendar
Tasks
Create follow-up reminders linked to leads or deals:
- Set due date, priority (Urgent/High/Medium/Low), and type (Call/Email/Meeting/Follow-up)
- Overdue tasks are highlighted. Snooze tasks that aren't ready yet.
- Mark complete when done — task history is preserved for accountability.
Calendar
The calendar view shows showings, tasks, and open houses in a monthly or weekly layout. Color-coded by event type for easy scanning.
Showings
Schedule property showings with a lead, property address, and time. After the showing, add feedback notes to track buyer interest.
7. Open Houses
Schedule open houses and capture visitor sign-ins directly in your admin panel.
- Create an open house with property, date/time, and agent
- During the event, add sign-ins (name, email, phone, buyer type, pre-approval status)
- Sign-ins automatically become leads in your CRM

- Set trigger conditions (new lead, status change, tag added)
- Build multi-step sequences with delays between emails

- "When lead score hits 70, assign to senior agent and create a follow-up task"
- "When status changes to Showing, enroll in 'Active Buyer' drip campaign"

12. Your Agent Profile
Social Content Profile
Set up your brand for social media content (accessible from the Agents page or via API):
- Brand Colors — Primary and secondary colors used on image overlays
- Logo — Appears on branded overlay images
- Tone — Professional, Casual, or Playful — controls caption writing style
- Voice Notes — Custom instructions for the AI (e.g., "Always sign off with 'Happy house hunting!'")
- Compliance — State, license number, brokerage name, team name, disclaimer text, Equal Housing Opportunity preference
- MLS Agent ID — Links your listings in MLS to auto-generate content
- Game Preferences — Frequency (weekly/biweekly/monthly), selection mode (Surprise Me / manual), excluded game types
Auto-Generate Toggles
Control which listing events trigger content generation:
- Auto-generate on new listing: On/Off
- Auto-generate on price change: On/Off
- Auto-generate on sold/under contract: On/Off
Content Network
Toggle whether your listings are shared with other ParcelVine agents for interactive game posts. Your attribution (name + brokerage) always appears.
